Purpose:

The Building and Access Policy ensures a secure, professional, and productive environment for all NuvoDesk members, guests, and staff. This policy outlines the rules and guidelines for accessing and using the facility, shared spaces, private offices, and amenities. It is designed to:

  • Maintain Security: Protect the building, its equipment, and its occupants by regulating access and usage.
  • Promote Professionalism: Foster a collaborative and respectful atmosphere conducive to productivity and growth.
  • Preserve Resources: Ensure the facility and its amenities are used responsibly to benefit all members and guests.
  • Ensure Accountability: Clearly define member responsibilities for damages, misuse, and policy violations.

By adhering to this policy, we can maintain a coworking space that supports the success and well-being of our entire community. This document will serve as a comprehensive guide for members and guests to understand their roles and responsibilities in utilizing NuvoDesk's facilities.

Access Control

Access Methods

Members gain entry to NuvoDesk facilities through designated methods, including:

  • Key Fobs: Available for purchase at the front desk for secure and reliable access.
  • Salto KS App: Members may use the Salto KS mobile application for access. However, due to occasional technical limitations, we strongly recommend purchasing a keycard for uninterrupted entry.
Credential Security

Members are strictly prohibited from sharing access credentials (e.g., key fobs, app access) with unauthorized individuals. Misuse or unauthorized sharing will result in disciplinary action, up to and including termination of membership.

Unauthorized Access Prohibited

To ensure the safety and security of the facility:

  • Members must not grant access to unknown individuals or allow "tailgating," where unauthorized persons enter the building without proper verification.
  • Any instance of unauthorized access will be investigated, and appropriate action will be taken against the responsible member.

Operating Hours

General Member Access
  • Members with qualifying memberships, such as Private Office or Shared Desk memberships, have 24/7 access to the NuvoDesk facility.
Standard Operating Hours
  • Non-qualifying members (e.g., Virtual Mail members) and all guests are limited to NuvoDesk’s standard operating hours:
    • Monday - Friday: 8:00 AM - 5:00 PM
Holiday Hours
  • NuvoDesk may observe adjusted operating hours on holidays. Members will be notified in advance of any changes to access or availability.

Security Protocols

Door Security
  • All entry points, including doors to common areas and private offices, must remain securely closed and locked at all times.
  • Members are strictly prohibited from:
    • Propping open doors for any reason.
    • Allowing access to individuals who do not have proper credentials or permissions.
Unauthorized Access Prevention
  • Members must use their designated access credentials (key fob or Salto KS app) to enter the building.
  • If a member observes an individual attempting to "tailgate" or gain unauthorized access, they should deny entry and immediately notify NuvoDesk staff.
Surveillance and Monitoring
  • NuvoDesk utilizes security cameras throughout the facility to monitor activity and ensure safety.
  • Members are expected to respect the privacy of others while being aware that all public common areas are under surveillance.
Reporting Security Concerns
  • Members are encouraged to promptly report any of the following to NuvoDesk staff:
    • Suspicious activity or individuals.
    • Security breaches, such as propped doors or broken locks.
    • Lost or stolen key cards or other access credentials.
Member Responsibility
  • Members are responsible for the behavior of their guests and must ensure they follow all security protocols while on the premises.
  • Violations of security policies by a member or their guest may result in disciplinary actions, including suspension or termination of membership.
Emergency Procedures
  • In case of an emergency (e.g., fire alarm, medical incident), members must follow designated evacuation routes and adhere to instructions from NuvoDesk staff or emergency responders.

Guest Access

Guest Check-In
  • All guests are required to adhere to NuvoDesk’s Guest Policy, which includes checking in at the front desk kiosk upon arrival.
    • Guests must provide their first name, last name, email, and the name of the member they are visiting.
  • Members can expedite this process by pre-registering their guests via the NuvoDesk Member Portal.
Member Responsibility
  • Guests must remain accompanied by their hosting member at all times while on NuvoDesk premises.
  • Hosting members are fully responsible for ensuring their guests comply with all NuvoDesk policies and guidelines.

Usage of Common Areas

NuvoDesk Coworking is dedicated to maintaining a clean, professional, and inclusive environment. These guidelines ensure shared spaces remain enjoyable and productive for all members.

Cleanliness and Maintenance
  • Clean Spaces: Members are responsible for leaving shared spaces, including lobbies, lounges, kitchen areas, and conference rooms, in a tidy and organized condition after use.
  • Trash Disposal: Dispose of waste in designated bins to uphold cleanliness and hygiene standards.
  • Spill Management: Promptly clean any spills and wipe down surfaces.
  • Food and Beverages: Consumption is restricted to the Common Dining Area to avoid damage to furniture and equipment.
Noise Control
  • Noise Levels: Keep noise to a minimum to maintain a professional and focused environment.
  • Designated Areas: Conduct phone calls and virtual meetings in phone booths or private offices to reduce disruptions to others.
Respect for Fellow Members
  • Shared Spaces: Be considerate of others by not monopolizing shared areas or amenities.
  • Minimize Disturbances: Avoid activities that may disrupt others, such as playing loud music or holding prolonged phone conversations in common areas.
Use of Shared Equipment
  • Responsible Use: Shared equipment, such as coffee machines, water dispensers, and printers, must be used thoughtfully.
  • Reporting Issues: Notify NuvoDesk staff immediately if any equipment malfunctions or maintenance issues arise.
Conference Room Etiquette
  • Cleanliness and Restoration: Leave conference rooms in their original condition after use. This includes cleaning up and resetting any moved furniture.
  • Adherence to Booking Times: Respect the reserved time slots for conference room use. Overages may result in additional fees charged to the member’s account.
  • Equipment and Supplies: All wires, devices, and markers provided in the conference rooms must remain in the space. Removing these items is prohibited.
  • Damage and Cleaning Fees: Members will be charged for any damage, missing items, or excessive cleaning required following their use of the conference rooms.
Personal Belongings
  • Unattended Items: Personal belongings should not be left unattended in shared areas.
  • Liability: NuvoDesk is not responsible for items lost, stolen, or damaged in common spaces.
Compliance with Community Standards
  • Respectful Conduct: All members and guests are required to follow NuvoDesk’s Community Policy, fostering a respectful and inclusive atmosphere in shared areas.
Lobby Conduct
  • Professional Use: The lobby serves as a professional space and should not be used for sleeping or lounging.
  • Dress Code: Shoes, shirts, and bottoms must be worn at all times.
  • Furniture Etiquette: Feet should not be propped up on furniture.
Wellness Room Usage

The Wellness Room is a designated space for relaxation, meditation, and quiet reflection. To ensure it serves its purpose and remains accessible to all members, the following guidelines must be adhered to:

  • Purpose: The Wellness Room is strictly for relaxation, meditation, and quiet reflection. It is not to be used for any other activities.
  • Time Limit: Usage is restricted to a maximum of 1 hour per person to allow fair access for all members.
  • Prohibited Activities:
    • Extended stays or overnight use are not allowed.
    • Napping or sleeping in the Wellness Room is strictly prohibited.
  • Cleanliness: Members must leave the room clean and orderly, maintaining its tranquil environment.

Failure to comply with these rules may result in penalties, including restricted access to the Wellness Room or a violation fee.

Private Office and Shared Desk Areas

Respect for Privacy and Workspace
  • Members must respect the privacy and personal workspace of others to maintain a professional and productive environment.
  • Noise and disruptions in hallways near private offices or shared desk areas should be minimized to support the focus and productivity of fellow members.
Unauthorized Use
  • Unauthorized use of another member’s private office or desk is strictly prohibited.
  • Any member found using another member’s designated workspace without permission may face disciplinary action, including verbal warnings, written notices, or termination of membership.
Cleanliness and Maintenance
  • Members are responsible for maintaining the cleanliness of their private offices and shared desk spaces.
  • All food waste and trash must be promptly disposed of to prevent pests and odors.
  • Members should bring their trash to the stairwell and use the designated large receptacles. However, while in the office, our cleaning staff is available and happy to assist with trash disposal upon request.
Personal Belongings
  • NuvoDesk is not liable for the loss, theft, or damage of personal belongings left unattended in private offices or shared desk areas.
  • Members should secure valuable items and ensure their belongings are confined to their designated workspace.
Compliance with Membership Agreements
  • Members must adhere to the terms outlined in their Private Office or Shared Desk membership agreements.
  • Any violation of these agreements may result in penalties or termination of membership privileges.
Use of Shared Facilities by Private Office Members
  • Private Office members may access shared facilities, but users must comply with NuvoDesk’s policies regarding common areas and community standards.
  • Access to shared resources, such as printers and conference rooms, must align with membership terms.

Equipment and Facility Maintenance

Proper Use of Equipment
  • Members are required to use NuvoDesk-provided equipment, such as printers, scanners, AV equipment, and other shared tools, in accordance with their intended purpose and operational guidelines.
  • Misuse of equipment, including unauthorized modifications or tampering, is strictly prohibited.
Reporting Issues
  • Any malfunctions, damage, or technical issues with NuvoDesk equipment or facilities must be reported to staff immediately via email or in person.
  • Timely reporting ensures repairs are conducted efficiently, minimizing disruptions to all members.
Member Responsibility for Damage
  • Members are financially responsible for any damage to facilities or equipment caused by themselves or their guests, whether accidental or intentional.
  • Repair or replacement costs will be assessed based on actual damages, and fees will be billed to the member’s account.
Preventative Maintenance
  • NuvoDesk reserves the right to perform routine maintenance and inspections of equipment and facilities.
  • Members will be notified in advance of any maintenance that may temporarily impact access to specific amenities.
Personal Equipment
  • Members are permitted to use personal equipment within their designated workspaces but must ensure it does not interfere with NuvoDesk’s infrastructure or other members’ experience.
  • NuvoDesk is not liable for any damage or technical issues arising from the use of personal equipment.
Shared Responsibility
  • All members share the responsibility of maintaining a clean and functional environment by reporting issues and adhering to guidelines for shared equipment use.
  • Violations of maintenance policies may result in additional fees, warnings, or membership termination.

Storage and Personal Belongings

Member Responsibility for Personal Belongings
  • Members are solely responsible for the security and safekeeping of their personal items while on NuvoDesk premises.
  • NuvoDesk is not liable for any lost, stolen, or damaged belongings, including items left in private offices, shared desks, or common areas.
Unattended Items
  • Personal items left unattended in shared areas (e.g., lounges, kitchen, or conference rooms) for extended periods may be removed by NuvoDesk staff to maintain a clutter-free and professional environment.
  • Removed items will be placed in NuvoDesk’s Lost and Found, where they will be held for a maximum of 90 days before being donated or discarded.
Storage Options
  • Private Office Members: Members with Private Office memberships may store personal belongings securely within their designated office space.
  • Shared Desk Members: Shared Desk members do not have access to additional storage options or public storage spaces within the facility.
Restricted Items
  • Hazardous, flammable, chemical, paint, or prohibited items may not be brought into NuvoDesk facilities or stored on the premises.
  • Any such items found will be removed immediately, and members may face penalties as outlined in the Restricted Items Policy.
Liability for Misplaced Items
  • Members are encouraged to label all personal belongings to assist in identifying misplaced items.
  • NuvoDesk is not responsible for ensuring the return of items left behind after membership
Removal of Property Upon Membership Termination
  • Members are required to remove all personal items from NuvoDesk premises upon the termination or expiration of their membership.
  • Any remaining items after a 5-day grace period will be considered abandoned and disposed of at NuvoDesk’s discretion.
  • Fees incurred for the removal or disposal of abandoned property will be charged to the member’s account.

Health and Safety Compliance

Health and Hygiene Standards
  • Personal and Communal Hygiene: Members are required to maintain high standards of hygiene in shared spaces, including promptly cleaning up after themselves in kitchens, lounges, and restrooms.

  • Smoking Policy:

    • Vaping, smoking, or the use of any electronic smoking products is prohibited inside all NuvoDesk facilities, including common areas, private offices, and restrooms.

    • A designated smoking area is provided outside the building at the front of the facility. Members and guests are required to use this area and dispose of cigarette butts properly in the designated receptacles.

    • Failure to adhere to this policy, including smoking in unauthorized areas or improper disposal of smoking materials, may result in a warning or further disciplinary action, as outlined in the Compliance and Enforcement section.

Prohibited Materials

NuvoDesk strictly prohibits the possession, use, or storage of hazardous, dangerous, or restricted items on the premises to ensure the safety and well-being of all members and guests. The following items examples of what is  prohibited:

Restricted Items:

  • Fireworks and explosives
  • Chemicals, including cleaning agents, industrial solvents, and other hazardous materials
  • Heaters and space heaters
  • Candles or open flames
  • Toxic products or materials that may emit harmful fumes or substances
  • Aerosol sprays or pressurized containers
  • Radioactive materials or any items emitting harmful radiation
  • Heavy machinery or industrial equipment that could pose safety risks
  • Sharp objects or items that could cause physical harm without proper storage or usage
  • Any other items deemed unsafe or inappropriate by NuvoDesk management

Firearms and Weapons:

  • Firearms, ammunition, and weapons of any kind are strictly prohibited on NuvoDesk premises, regardless of concealed carry permits or similar authorizations.
  • Exceptions are limited to authorized law enforcement personnel performing official duties.

Enforcement: Failure to comply with these policies may result in the immediate removal of prohibited items and possible disciplinary action, including:

  • Suspension of membership
  • Termination of membership
  • Additional fees (e.g., cleaning or removal fees)

NuvoDesk reserves the right to take any necessary actions to maintain a safe and professional environment for all members and guests. 

Emergency Situations

Members must adhere to all NuvoDesk emergency procedures to ensure a safe and secure environment for everyone. This includes, but is not limited to, fire evacuation protocols and participation in safety drills.

  • Compliance with Emergency Procedures:
    All members must follow NuvoDesk's emergency protocols, including fire evacuation procedures and participation in safety drills.
  • Clear Pathways:
    Emergency exits and walking paths must remain clear and unobstructed at all times. Blocking these areas is prohibited and may result in penalties.
  • First-Aid and Fire Safety:
    First-aid kits are available at the front desk, and fire extinguishers are strategically located throughout the facility for emergency use.

Members are responsible for familiarizing themselves with the emergency procedures and ensuring compliance to help protect the well-being of all individuals within the premises.

Food and Beverage Safety
  • Food with strong odors must be consumed in designated areas to maintain air quality and comfort for all members.
  • Perishable items stored in NuvoDesk refrigerators must be labeled with the member's name and date. Unlabeled or spoiled items will be discarded during weekly cleanings.
Pets and Service Animals
  • General Policy: Pets, other than service animals, are not allowed on NuvoDesk premises to maintain a professional and safe environment for all members, guests, and staff.
  • Service Animals:
    • Definition: Service animals are defined as dogs or, in certain cases, miniature horses individually trained to do work or perform tasks for individuals with disabilities, in accordance with the Americans with Disabilities Act (ADA).
    • Permitted Areas: Service animals are allowed in all areas of NuvoDesk where members and guests are normally permitted.
    • Behavior Requirements: Service animals must be under the handler's control at all times and must be housebroken. Disruptive behaviors, such as barking, growling, or wandering, are not permitted.
  • Responsibilities of Members with Service Animals:
    • Cleanliness: Members are responsible for ensuring that their service animal does not soil or damage NuvoDesk property. Any incidents must be cleaned promptly, and damages may be subject to fees as outlined in the Damage Fees section.
    • Documentation: Members may be required to confirm that the service animal is necessary for their disability but will not be asked to disclose specific details about their medical condition.
  • Prohibited Animals: Emotional support animals, therapy animals, and pets that do not qualify as service animals under the ADA are not permitted.
  • Liability: NuvoDesk is not responsible for the care, supervision, or behavior of service animals. Handlers are solely liable for their animal’s actions, including any injuries or damages caused.
Reporting Health or Safety Hazards
  • Members must promptly report any health or safety hazards, including broken equipment, spills, or unsafe conditions, to NuvoDesk staff.
  • Failure to report hazards may result in liability for resulting damages or injuries.
Compliance Enforcement
  • Members found in violation of health and safety standards may receive verbal or written warnings. Repeated violations may result in penalties, including membership suspension or termination.

Emergency Procedures

Fire and Evacuation Protocols
  • Evacuation Routes: In the event of a fire or evacuation order, members must immediately cease all activities and proceed to the nearest emergency exit in an orderly manner. NuvoDesk has three designated exits:
    • The main entrance is at the front of the building.
    • Two stairwells are located at the back of the building.
  • Safety Guidelines:
    • Do not use elevators during an evacuation; always use the stairwells for safe egress.
    • Follow posted evacuation signs and adhere to instructions from NuvoDesk staff or emergency personnel.
  • Assembly Point: Once outside, proceed to the designated assembly area and await further instructions.
Fire and Evacuation Protocols
  • In the event of a fire alarm or evacuation notice, members must immediately cease all activities and proceed to the nearest marked emergency exit in an orderly manner.
  • Do not use elevators during an evacuation. Use the stairwells for safe egress.
  • Once outside, proceed to the designated assembly point and await further instructions from NuvoDesk staff or emergency personnel.
Severe Weather Procedures
  • During severe weather events, such as tornado warnings, members should move to designated shelter areas within the facility. These areas will be communicated by NuvoDesk staff during the event.
  • Avoid windows and exterior doors during severe weather.
Medical Emergencies
  • In the event of a medical emergency, members should call 911 immediately and notify NuvoDesk staff as soon as possible.
  • First-aid kits are available at the front desk.
  • Do not move individuals experiencing a medical emergency unless they are in immediate danger.
Reporting and Compliance
  • Members must report any emergencies or incidents to NuvoDesk staff promptly.
  • Failure to comply with emergency procedures may result in penalties, including membership suspension or termination.
Drills and Training
  • Periodic emergency drills may be conducted to ensure member preparedness. Participation is strongly encouraged to familiarize members with safety protocols.
Liability Disclaimer
  • NuvoDesk is not liable for injuries or damages resulting from members’ failure to follow emergency procedures or instructions from staff and emergency personnel.

Damage Fees

Responsibility for Damages
  • Members are fully responsible for any damage caused to NuvoDesk furniture, equipment, or facilities by themselves, their employees, or their guests.
  • This includes damage to shared spaces, private offices, common areas, or any other part of the NuvoDesk premises.
Fee Assessment
  • Damage fees will be assessed based on actual repair or replacement costs. Examples of potential damages include, but are not limited to:
    • Broken or damaged furniture.
    • Scratched, scuffed, or otherwise marked walls.
    • Misuse or mishandling of conference room equipment, such as TVs, remote controls, or AV systems.
    • Damaged appliances or fixtures in shared areas, such as kitchen equipment or water dispensers.
Notification and Payment
  • Members will be notified in writing of any damage fees assessed, along with an itemized description of the damage and associated costs.
  • Payment of assessed fees is required within 14 calendar days of notification.
Consequences for Non-Payment
  • Failure to pay assessed damage fees within the specified timeframe may result in:
    • Suspension of membership privileges.
    • Termination of membership agreements.
    • Additional legal or collection actions, if necessary.
NuvoDesk’s Right to Charge
  • NuvoDesk reserves the right to directly charge the payment method on file for assessed damage fees, as permitted under membership agreements.
Preventative Measures
  • Members are encouraged to handle all NuvoDesk property with care and to promptly report any maintenance issues to staff to prevent unintentional damage.
Liability Exclusions
  • NuvoDesk will not be held liable for damage caused by other members or guests; disputes regarding damages must be resolved between the involved parties.

Conference Room Usage

Reservations
Usage Limits and Fees
  • Usage limits are determined by membership type, with details outlined in the Membership and Add-Ons Policy.
  • Members who exceed their allocated conference room time will be charged additional fees based on the current rate schedule.
Cleanliness and Maintenance
  • Members are responsible for leaving conference rooms in the same condition they were found. This includes:
    • Disposing of trash in designated bins.
    • Cleaning up spills or messes.
    • Resetting furniture and equipment to their original arrangement.
  • Any damages or equipment malfunctions must be reported to NuvoDesk staff immediately.
Food and Beverage Policy
  • Eating in conference rooms is prohibited unless explicitly approved by NuvoDesk management.
  • Beverages are permitted but must be handled carefully to avoid spills.
Conduct and Respect
  • Members must respect the time limits of their reservations to ensure fair access for all members.
  • Noise levels must be kept appropriate for a professional environment.
  • Members are encouraged to cancel reservations they no longer need to allow others to use the space.
Penalties for Policy Violations
  • Members found violating conference room policies may face the following:
    • First violation: Verbal or written warning documented on the member’s account.
    • Second violation: Written notice with potential additional fees.
    • Third violation: Suspension or termination of conference room privileges.
Liability
  • Members are liable for any damage to conference room furniture, equipment, or fixtures caused by themselves or their guests.
  • NuvoDesk reserves the right to assess fees for damages as outlined in the Damage Fees section.
Accessibility
  • Members can access conference rooms using the Salto KS app or a key card, which becomes active only during the reserved time.
Compliance with Community Standards
  • Members and guests are expected to adhere to NuvoDesk’s Community Policy while using conference rooms, fostering a respectful and professional environment.

IT and Internet Usage

Responsible Use

Members must utilize NuvoDesk’s internet services responsibly and in accordance with the following guidelines:

  • Prohibited Activities: Illegal activities such as hacking, distributing malware, or copyright infringement are strictly forbidden.
  • Network Security: Sharing Wi-Fi passwords with unauthorized individuals or attempting to access restricted networks is not permitted.
Device Security

To protect the shared network and maintain a secure environment, members are responsible for:

  • Antivirus Protection: Installing and maintaining up-to-date antivirus and anti-malware software on their devices.
  • Safe Practices: Avoiding actions or downloads that could compromise network integrity or security.
Private Networks

Members may set up private wired networks under the following conditions:

  • Approval Required: Private networks must be pre-approved by NuvoDesk IT staff.
  • Coordination: Setup, maintenance, and removal of private networks must be coordinated with NuvoDesk.
  • Fees: Additional fees may apply for installation and ongoing usage.
Internet Service Limitations

NuvoDesk provides shared internet access as a service but does not guarantee:

  • Connectivity: Uninterrupted service or specific data speeds.
  • Liability: NuvoDesk is not responsible for data loss, breaches, or service interruptions due to maintenance, outages, or external factors.
Reporting Issues
  • Connectivity Problems: Members experiencing internet issues should report them to NuvoDesk staff during regular business hours for resolution.
Liability for Misuse

Violations of IT and Internet policies will result in the following actions:

  1. First Violation: Written warning documented on the member’s account.
  2. Second Violation: Temporary suspension of internet access.
  3. Third Violation: Termination of membership.
Compliance with Applicable Laws
  • Legal Responsibility: Members must ensure their internet activity complies with local, state, and federal laws. Members are solely responsible for adhering to these regulations.

Printing Policies

NuvoDesk provides printing services powered by PaperCut MF Printer Drivers, offering high-quality and reliable printing for all members. To ensure efficient and equitable use of these resources, members are expected to adhere to the following policies:

Pricing
  • Standard Letter (8.5” x 11”):
    • Black & White: $0.10 per page.
    • Color: $0.20 per page.
  • Other Sizes and Formats:
    • Pricing for legal (8.5” x 14”) and ledger (11” x 17”) paper or specialized printing may vary. Please inquire at the front desk for details.
Payment
  • Account Charges: Printing fees are automatically charged to the member’s account at the end of each billing cycle.
  • Prepaid Printing Credits: Members may add prepaid credits to their accounts to streamline printing charges.
Printing Access
  • Supported Operating Systems:
    • Compatible Systems: Printing services are compatible with devices running Windows and iOS operating systems.
    • Incompatible Systems: Devices operating on Android-based systems are not supported.
    • Discontinuation Notice: Support for older versions of Windows and iOS may be discontinued by PaperCut. Members are advised to consult PaperCut’s End-of-Life Policy to verify the support status of their operating systems.
  • Setup Assistance: Members can visit the front desk for assistance in setting up their devices for printing or troubleshooting compatibility issues.
Reporting Issues
  • Technical Support: Members encountering printing issues should notify NuvoDesk staff during regular business hours.
  • Resolution Timeframe: NuvoDesk will address printing issues as promptly as possible.
Responsible Use
  • Professional Use Only: Printing services are intended for business-related use. Excessive personal or non-business printing may result in restrictions or additional fees.
  • Environmental Considerations: Members are encouraged to print responsibly, minimize waste, and double-check print settings before submitting a print job.
Violations

Members who misuse printing services or fail to comply with policies may face the following actions:

  1. First Violation: Written warning documented on the member’s account.
  2. Second Violation: Temporary suspension of printing access.
  3. Third Violation: Additional fees or membership review.

Compliance and Enforcement

Policy Violations

Violations of the Building and Access Policy may result in:

  • First Offense:
    A verbal warning will be issued and documented in the member’s account.
  • Second Offense:
    A written warning will be sent via email, reminding the member of the policy. A violation fee will also be added to the member’s account.

    Suspension or termination of membership may occur, depending on the severity of the violation. An additional violation fee will be applied to the member’s account.
Fines and Fees
  • NuvoDesk reserves the right to impose fines or fees for violations that result in damages, misuse of resources, or other infractions outlined in this policy.
Reporting Violations
  • Members are encouraged to report any policy violations, suspicious activity, or security concerns to NuvoDesk staff for review and resolution. Reports will remain confidential to protect the reporting member’s privacy.
Review and Resolution
  • All reported violations will be reviewed by NuvoDesk management.
    • Minor infractions may result in warnings or fines.
    • Severe violations, such as unauthorized access or damage to property, may lead to immediate suspension or termination of membership.
Appeals Process
  • Members may appeal disciplinary actions in writing to NuvoDesk management within seven (7) business days of receiving notice.
    • Appeals will be reviewed on a case-by-case basis, and a final decision will be communicated within ten (10) business days.

Children's Policy

Supervision Requirement
  • All children under the age of 14 must be accompanied by an adult at all times while on NuvoDesk premises.
  • The adult accompanying the child is fully responsible for the child's safety, behavior, and supervision.
  • Member Accountability: If a member's guest brings a child to NuvoDesk, the member is responsible for ensuring the guest adheres to these policies. Failure to do so may result in a warning or further action against the member, depending on the severity of the violation.
Unattended Children Prohibited
  • Children may not be left unattended in any area of NuvoDesk, including but not limited to:
    • The lobby area
    • Lounge spaces
    • Kitchen or dining areas
  • If a child is found unattended, NuvoDesk staff reserves the right to contact the responsible adult immediately. Repeated violations may result in penalties for the responsible member, including suspension or termination of membership.
Restroom Usage
  • Children under the age of 14 must be accompanied by an adult when using the restroom facilities.
  • Adults must ensure that children use the restrooms respectfully and leave them clean for others.
General Guidelines
  • NuvoDesk is a professional coworking space and is not designed to function as a childcare facility. Members are encouraged to make appropriate arrangements for childcare to ensure a productive and safe environment for all.
  • Children must adhere to the same standards of respect and behavior expected of all members and guests.
Consequences for Non-Compliance
  • Violations of the Children Policy will result in the following actions:
    • First Violation: A verbal warning will be issued and documented on the member’s account.
    • Second Violation: A written warning will be emailed to the responsible member.
    • Third Violation: Membership privileges may be suspended or terminated.

Reserved Parking Policy

Reserved Parking Designation
  • Reserved parking spaces at NuvoDesk are exclusively designated for NuvoDesk Administration.
  • These spaces are clearly marked and are not available for use by members, guests, or any other individuals.
Prohibition for Members and Guests
  • Members and guests are strictly prohibited from parking in reserved spaces.
  • Parking in reserved spots is considered a violation of NuvoDesk’s Building and Access Policy.
Enforcement
  • Vehicles parked in reserved spaces without authorization may be subject to towing at the owner's expense.
  • NuvoDesk is not responsible for any costs or inconveniences resulting from a towed vehicle.
General Parking Guidelines
  • Members and guests should use the general parking areas provided and adhere to all posted parking rules and regulations.
  • Please ensure that vehicles are parked within designated spaces and do not block entrances, exits, or other vehicles.
Reporting Violations
  • Any misuse of reserved parking spaces can be reported to NuvoDesk staff for immediate action.

Updates to the Policy

Amendments and Revisions
  • NuvoDesk reserves the right to amend, update, or revise this Building and Access Policy at its sole discretion to ensure alignment with operational needs, legal requirements, and member feedback.
Notification of Changes
  • Members will be notified of significant policy changes through one or more of the following methods:
    • Email communication to the address provided in their membership account.
    • Announcements via the NuvoDesk Member Portal.
    • Notices posted in shared areas of the facility.
Member Responsibility
  • It is the responsibility of each member to stay informed of updates to this policy. Continued use of NuvoDesk facilities and services after notification of changes constitutes acceptance of the revised policy.
Effective Date
  • Policy changes will take effect seven (7) days after notification unless otherwise specified.
