This policy applies to all members of NuvoDesk, including but not limited to Private Office, Shared Desk, and Virtual Mail memberships. It also governs the use of optional services such as Virtual Mail enhancements, conference room packages, and other add-ons.

Membership Types

NuvoDesk offers a variety of membership options designed to accommodate the unique needs of businesses and professionals. Each membership type provides access to specific services and amenities to enhance productivity, networking, and convenience.

Private Office Memberships

Private Office Memberships provide members with exclusive, enclosed office spaces that support a professional and secure working environment.

  • Complimentary Virtual Mail services included.
  • Monthly allotment of conference room hours (varies by office size).
  • Full access to all NuvoDesk amenities and shared spaces, including:

Shared Desk Memberships

Shared Desk Memberships offer flexible access to NuvoDesk’s communal coworking spaces, catering to individuals who need an adaptable workspace without long-term commitments.

  • Discounted hourly rates for:
    • Conference rooms.
    • Media rooms and production spaces (e.g., podcast or video rooms).

  • Discounted hourly rates for:

Virtual Mail Memberships

Virtual Mail Memberships are designed for remote professionals or businesses that require a professional mailing address without access to a physical office.

  • Professional business address for mail handling and package reception.
  • Access to the Virtual Mail platform for mail and package management.
  • Optional services such as mail forwarding and shredding available.

Building Access:

  • Virtual Mail Members do not have regular access to the building.
  • Temporary access is granted only for booked resources, such as conference rooms, during the time of the reservation.

Virtual Mail Services
  • Eligibility: Available to Shared Desk members and above.
  • Features: Includes professional business address, mail handling, and access to the Virtual Mail platform for mail management.
  • Pricing: Included in Private Office memberships; additional charges apply for other membership types.
Virtual Phone Service
  • Pricing: $20/month per line.
  • Features:
    • A dedicated business phone number.
    • Call forwarding and voicemail services.
    • Perfect for creating a professional communication channel.
Live Answering Service
  • Pricing: Starting at $99/month.
  • Features:
    • Professional live operators to answer your business calls.
    • Call screening and message forwarding.
    • Available for all membership levels to enhance client interactions.
Unlimited Conference Room Package
  • Eligibility: Exclusively available to Private Office members.
  • Features:
    • Unlimited access to conference rooms (subject to availability).
    • Requires prior reservation.

Unlimited Media & Podcast Package

Eligibility: Optional add-on for Private Office members.

  • Unlimited access to the Media and Podcast Rooms for recording and production.
  • Prior reservation is required and must be booked at least 48 hours in advance to ensure availability.

Pricing: Pricing: Monthly fee information is available for non-members during a tour and upon request for members who have toured in the last 6 months.

Private Logo Office
  • Eligibility: Available to Private Office members.
  • Features:
    • Customize your office door with your company’s logo.
    • Maintains professional and uniform design standards.
  • Pricing:
    • $50 for logo installation (minimum order requirements apply).
    • Rush orders are available for an additional $200.

Upgrade and Downgrade Procedures

NuvoDesk provides flexible options for members to adjust their memberships as their needs change. The following outlines the procedures for upgrading and downgrading memberships:

Upgrading Your Membership
  • Eligibility: All members can request an upgrade at any time.
  • Notice Period: A minimum of 24 hours' notice is required to process an upgrade.
  • Availability: Upgrades are subject to space and membership availability (e.g., Private Office availability).
  • New Agreement:
    • A new Membership Agreement will be issued to reflect the upgraded terms and conditions.
    • Previous special rates or grandfathered pricing will not carry over to the new agreement.
    • The upgraded membership will begin on the agreed start date, with prorated billing applied as necessary.
Downgrading Your Membership
  • Eligibility: Members may request a downgrade to a lower-tier membership.
  • Notice Period: A written notice of 30 days is required for all downgrades.
  • New Agreement:
    • Downgrades require the member to sign a new Membership Agreement reflecting the updated terms.
    • Once downgraded, members cannot revert to their previous membership terms without initiating a new agreement.
    • Special rates or grandfathered pricing from the original membership will not apply to the downgraded membership.
  • Billing Adjustments:
    • Any applicable billing adjustments will take effect at the end of the 30-day notice period.

How to Request Changes

  • Submission: All upgrade or downgrade requests must be submitted in writing to office@nuvodesk.com or through the Member Portal via a help desk message.

Valid Documentation: Verbal requests, phone calls, or voicemails will not be considered valid.

Payment Terms for Memberships and Add-Ons

NuvoDesk ensures transparent and consistent billing practices for memberships and add-ons. The following terms outline payment expectations and procedures:

Billing Cycles
  • Membership Billing:
    • Memberships and add-ons are billed on either a monthly or annual basis, as selected during registration.
    • Monthly memberships renew automatically on the 1st of each month unless canceled per the Cancellation Policy.
  • Add-Ons:
    • Optional services such as Virtual Phone, Live Answering, and Unlimited Conference
Fees for Mid-Cycle Changes
  • Proration:
    • Fees for upgrades or downgrades made mid-billing cycle will be prorated based on the remaining days of the current cycle.
  • Additional Charges:
    • Any additional fees incurred during the billing cycle, such as extra conference room hours or printing, will be added to the next invoice.
Payment Deadlines
  • Due Date:
    • Payments for memberships and add-ons are due on the 1st of each month.
    • Payments not received by the due date are subject to late fees.
  • Grace Period:
    • A 5-day grace period applies before late fees are charged.
Late Payment Policy

Late Fees

  • A late payment fee of $50 will be applied to all overdue balances after the 5-day grace period.

Failed Payments

  • A failed payment fee of $25 will be charged on the 3rd day after the overdue balance.

Account Suspension

  • Members with overdue balances exceeding 10 days may have their access to NuvoDesk facilities and services temporarily suspended.

Reactivation Fee

  • A $50 reactivation fee will be charged to reinstate accounts suspended due to non-payment.

Cancellation or Suspension

NuvoDesk understands that circumstances may change, and members may need to cancel or temporarily suspend their memberships. The following policies apply:

Cancellation Policy
  • Members must provide written notice of cancellation via email to office@nuvodesk.com or through the Member Portal.
  • Cancellation requests must be submitted 30 days in advance of the desired termination date.
  • Final billing will occur during the 30-day notice period, and access to NuvoDesk will remain active until the end of the billing cycle.
Suspension Policy
  • Memberships may be temporarily suspended for up to 90 days, subject to approval by NuvoDesk management.
  • A suspension request must be submitted in writing, specifying the duration and reason for the suspension.
  • During suspension, members will be charged a reduced holding fee (10% of the regular membership rate) to retain their membership benefits.
  • Suspended accounts cannot access NuvoDesk facilities but retain access to Virtual Mail services if applicable.
Refunds
  • Membership fees for late payments, failed transactions, or reactivations are non-refundable, including any fees paid during the notice period or suspension.
  • For members with annual billing, a prorated refund will be issued for unused months, minus any applicable cancellation or suspension fees.

Sharing Membership Benefits

Non-Transferable Membership Privileges
  • Membership benefits, such as conference room hours, private office access, or discounted services, are strictly non-transferable.
  • Privileges are reserved exclusively for the individual or team members registered under the membership account. Sharing access or privileges with non-members is prohibited.
Corporate Membership Guidelines
  • Corporate memberships may include multiple team members as listed in the Private Office Occupant List or designated account.
  • All team members must be registered with NuvoDesk, and their access is limited to the terms of the corporate membership agreement.
Prohibition of Subleasing
  • Subleasing or allowing non-members to use any NuvoDesk spaces, resources, or amenities under a membership is not permitted.
  • Members found engaging in subleasing activities may face:
    • Immediate suspension of membership privileges.
    • Assessment of additional fees equivalent to a Day Pass or other applicable charges.
    • Permanent revocation of membership for repeated violations.
Day Pass or Guest Access
  • Members may purchase a Day Pass for guests requiring temporary access to NuvoDesk facilities. Review the Guest Policy here.
  • Guests are required to adhere to NuvoDesk policies and remain under the host member's supervision at all times.

Complimentary and Limited-Time Offers

Availability of Promotional Offers
  • Complimentary and limited-time promotional offers are provided at NuvoDesk’s discretion and are subject to availability.
  • Offers may be tailored to specific membership types (e.g., Shared Desk, Private Office) or add-on services.
Terms and Conditions
  • Each promotional offer includes specific terms, such as duration, eligible membership types, and applicable benefits.
  • Members must comply with all terms outlined in the offer to qualify.
Expiration and Validity
  • Offers will expire after the specified time period indicated in the promotion.
  • Expired offers cannot be extended, reinstated, or applied retroactively.
Combining Discounts
  • Promotional offers cannot be combined with other discounts or special pricing arrangements unless explicitly stated in the terms of the offer.
  • Members benefiting from grandfathered pricing or other agreements are not eligible for additional discounts on the same services.
NuvoDesk Rights
  • NuvoDesk reserves the right to:
    • Modify or discontinue promotional offers without prior notice.
    • Enforce specific terms and verify member eligibility for offers.

Renewals and Termination

Automatic Renewals
  • All memberships, unless otherwise specified, will automatically renew on their anniversary date (monthly or annually, based on the chosen billing cycle).
  • Renewal charges will be processed using the payment method on file unless updated prior to the renewal date.
Notification Requirements
  • Members who do not wish to renew must provide written notice to NuvoDesk at least 30 days before their renewal date.
    • Written notices can be submitted via email to office@nuvodesk.com or through the Member Portal.
  • Failure to provide notice within the required timeframe will result in automatic renewal, and associated charges will apply.
Termination of Membership
  • Members who wish to terminate their membership must follow the Cancellation Policy guidelines.
    • Termination requests must be submitted in writing and include the requested termination date.
    • Any outstanding balances must be settled prior to termination.
  • Members with active contracts or promotional agreements may be subject to additional terms or fees upon termination.
Refund Policy
  • Refunds for prepaid memberships or add-ons will only be issued per the Refund Policy outlined in NuvoDesk’s Terms and Conditions.
  • Fees for partial-month usage or unused services are non-refundable.
Consequences of Non-Renewal or Termination
  • Access to NuvoDesk’s facilities, services, and member benefits will be deactivated on the termination date.
  • Members must clear out any personal belongings, return all issued access cards, and settle outstanding fees before their final day.
    • Failure to comply may result in deductions from security deposits or additional charges.
NuvoDesk Rights
  • NuvoDesk reserves the right to:
    • Terminate memberships for policy violations or non-payment, as outlined in the Membership and Add-Ons Policy.
    • Modify renewal procedures or terms with prior written notice to members.

Membership Violations

General Expectations
  • Members are required to adhere to all policies outlined in the Membership and Add-Ons Policy, as well as any additional guidelines provided by NuvoDesk.
  • Violations of these policies disrupt the coworking environment and may result in corrective actions.
Types of Violations

Violations include, but are not limited to:

  • Failure to comply with facility use rules (e.g., unauthorized access to private offices or shared spaces).
  • Disruptive behavior affecting other members or guests.
  • Non-payment or repeated late payments.
  • Misuse of NuvoDesk’s property, amenities, or equipment.
  • Sharing or transferring membership benefits, in violation of policy.
  • Subleasing or unauthorized occupancy of private offices.
  • Breaches of the Cancellation Policy, Guest Policy, or any other established guidelines.
Consequences

Depending on the severity and frequency of the violation, the following actions may be taken:

  1. Verbal Warning:
    • For minor, first-time violations.
    • Documented in the member’s account for reference.
  2. Written Warning:
    • For repeated or more significant violations.
    • Sent via email and includes details of the infraction and a reminder of the policy in question.
  3. Temporary Suspension:
    • Membership privileges may be temporarily suspended for serious violations or continued non-compliance.
    • Access to the facility and amenities will be restricted during the suspension period.
  4. Permanent Membership Revocation:
    • For severe or repeated violations after prior warnings.
    • Includes immediate deactivation of access cards and removal from NuvoDesk’s member database.
    • Revocation may apply to individual members or entire teams under corporate memberships.
Notification and Appeals
  • Members will be notified in writing of any actions taken, including the reasons for the decision.
  • Members may appeal decisions in writing to office@nuvodesk.com within 5 business days of receiving the notification.
Responsibility for Damages
  • Members are responsible for any damages caused by their actions or those of their guests, invitees, or employees.
  • Fees for repairs or replacements will be billed to the member’s account.
NuvoDesk Rights
  • NuvoDesk reserves the right to:
    • Enforce consequences based on the severity of the violation.
    • Take immediate action without prior warning for violations that pose safety risks or significant disruptions.
