Event Space Policy
NuvoDesk Coworking provides Private Event Rooms for the exclusive use of members, guests, and staff to host meetings, workshops, or special events. This policy outlines the terms, conditions, and expectations for booking and using these spaces to ensure a professional, clean, and respectful environment for all.
Booking and Payment Requirements
Advance Booking
- Private Event Rooms must be booked through NuvoDesk Management with a minimum of 48 hours' notice.
- All bookings are subject to availability and are processed on a first-come, first-served basis.
Payment in Advance
- All Event Space bookings must be paid in full at the time of booking.
- No reservations will be confirmed without full payment.
Non-Refundable
- All Event Space bookings are non-refundable. However, in the event of a cancellation, a credit may be applied to the member's account at the sole discretion of NuvoDesk Management. Refer to our Cancellation Policy and Credit Policy for more details.
Member Responsibilities
Membership Non-Transferable
- Memberships and booked Event Space-time are non-transferable between individuals or parties.
After-Hours Bookings
Eligibility for After-Hours Access:
- Full Access Members:
Members with 24/7 access privileges may book spaces, including event spaces, outside of standard operating hours (Monday–Friday, 8:00 AM–5:00 PM).

- Memberships with 24/7 access: Shared desk Membership and Private office Membership.
- Restricted Access Members:
Non-members and Virtual Mail-only members are only permitted to book spaces within standard operating hours if a staffing fee is applied.
Staffing Fees for After-Hours Bookings:
- A staffing fee will apply for bookings made outside normal operating hours.
- The fee amount is determined by the duration and nature of the after-hours use.
Right to Refuse Bookings:
- NuvoDesk reserves the right to deny any after-hours booking at its sole discretion and without the need to provide justification.
Responsibility for Guests and Property
- The member booking the Event Space is required to be present during the entire reservation period.
- The member is responsible for the behavior and actions of all attendees, including any damage, theft, or loss of property within the Event Space during the booking.
Cleanliness and Clean-Up
- Members are required to leave the Event Space in the same condition as it was found.
- Dispose of all food, drinks, and trash in the designated bins located in the Common Area Kitchen.
- Failure to clean the space adequately may result in cleaning fees assessed at the discretion of NuvoDesk Management.
Food and Beverage Guidelines
Food Restrictions
- Hot foods are not allowed in the Private Event Rooms to minimize the risk of damage.
- Any food or beverages brought into the Event Space must be handled carefully to avoid spills or stains.
Trash Disposal
- All food, drink, and trash must be removed from the Event Space immediately after the event and disposed of in the designated trash cans in the Common Area Kitchen.
Usage and Conduct Expectations
Respect for Others
- Members and guests must respect the shared nature of the space and minimize noise or disruptions that could affect other NuvoDesk users.
Cancellations
- Members are encouraged to cancel Event Space bookings if they no longer need the space. However, cancellations do not result in refunds.
Violation Policy
NuvoDesk enforces a three-strike policy for violations of the Event Space Policy:
- First Violation: Verbal warning documented on the member’s account.
- Second Violation: A written warning is sent via email, reminding the member of the policy, and a violation fee will be applied.
- Third Violation: Membership revocation and a violation fee will be applied. For corporate memberships, violations will be communicated to the primary account holder.
Damage and Cleaning Fees
Damage Fees
- Members will be held liable for any damage caused to the Event Space, furniture, or equipment during their booking.
- NuvoDesk Management will assess and charge fees based on repair or replacement costs.
Cleaning Fees
- A cleaning fee may be assessed if the Event Space is left in poor condition.
- Fees will vary depending on the severity of the cleanup required.
No Refund Policy
Non-Refundable Bookings
- All bookings for Private Event Rooms are final and non-refundable, regardless of cancellation or non-use.
