Event Space Policy

NuvoDesk Coworking provides Private Event Rooms for member-hosted meetings, workshops, and private events. This policy outlines booking procedures, conduct expectations, and responsibilities to ensure a secure, clean, and professional environment for all guests and staff.

Booking & Payment

Advance Booking
  • Minimum of 1-week notice is required for all event reservations.
  • Reservations must be made through NuvoDesk Management.
  • All bookings are subject to availability and confirmed on a first-come, first-served basis.
Payment & Confirmation
  • All bookings require full payment at the time of reservation.
  • No event is considered confirmed without payment in full.
  • All bookings are final and non-refundable. At NuvoDesk’s discretion, credit may be issued for future use.
Event Setup Information
  • Event hosts must submit a table layout or room setup plan at least 1 week prior to the event.
  • Late submission may result in limited or no accommodations for setup requests.
Time Reservation Requirements
  • Bookings must include total setup and cleanup time.
  • Additional charges will apply if the room is not vacated by the end of the reserved time.

Access & Key Management

After-Hours/Weekend Access
  • Only Private Office Members are permitted to book after-hours or weekend events without a staff member present.
  • Other members may request after-hours use, but a staffing fee will apply if staff is available.
Key Pickup & Return
  • If no staff will be present, the member must pick up the key prior to the event day.
  • Keys must be returned immediately after the event via the NuvoDesk key drop box.

Guest Management

Guest Check-In
  • All guests must check in at the kiosk upon arrival for security and accountability.
Occupancy & Guest Count
  • Guest count must be disclosed in advance.
  • Events must not exceed posted occupancy limits for the room.
Restricted Guest Movement
  • Guests must remain within the designated event space, except for restroom access.
Children
  • Children must be supervised at all times. Unattended children are not permitted.

Cleanliness & Waste Disposal

Clean-Up Responsibilities
  • The space must be left in the same condition as it was found.
  • Members must remove all trash, decorations, and materials brought in.
  • Food waste must be disposed of properly to avoid odors or pests. Use designated bins in the Common Area Kitchen.
Damage & Cleaning Fees
  • Cleaning or damage caused by the member or their guests may incur additional charges based on severity.
  • Damage may include but is not limited to: stains, broken furniture, unauthorized alterations, or missing items.

Security, Behavior & Liability

Security Camera Notice
  • Event Spaces are monitored by security cameras.
  • Footage may be used to verify damages, policy violations, or disputes.
Code of Conduct
  • The member is fully responsible for all guests’ behavior during the event.
  • Inappropriate behavior, damage, excessive mess, or rule violations may result in:
    • Immediate event termination
    • Fees or damages assessed to the member’s account
    • Potential revocation of membership

Food & Beverage Policy

Food
  • Hot food is prohibited inside event rooms.
  • All food must be handled to avoid stains and spills.
  • Leftover food and waste must be removed immediately after the event.
Alcohol
  • Alcohol may only be served if in compliance with TABC (Texas Alcoholic Beverage Commission) regulations.
  • The member is responsible for ensuring legal and responsible consumption.

Noise & Facility Respect

  • Events must maintain appropriate noise levels, respecting NuvoDesk’s shared work environment.
  • Excessively loud events may be stopped or interrupted by staff.

Violation Policy

NuvoDesk enforces a Three-Strike System for policy violations:

  1. First Violation – Verbal warning documented in your member profile
  2. Second Violation – Written warning + violation fee
  3. Third ViolationMembership revoked + applicable charges

Corporate memberships will have all violations reported to the primary account holder.
